Monitor usage and downtime in real time. Record filter changes, breakdowns, maintenance, or other event types. Costs are automatically recorded in FarmManager.
Define any number of maintenance plans per machine (e.g. "Oil change every 500 h", "Annual inspection", "Roadworthiness check"). A maintenance becomes due as soon as EITHER the operating-hour threshold OR the calendar-month threshold since the last completion is reached – whichever comes first. Reminders appear with a configurable lead time (days or hours) automatically in the team calendar and notifications.
15+ pre-configured maintenance types (oil change, air filter, brake fluid, hydraulic oil, coolant and many more) are ready to use out of the box. Custom maintenance types can be added per tenant.
Define mandatory or optional safety checklists per machine type (e.g. "Tractor – Daily visual inspection", "Mower – Before use"). Operators tick each item Ok / Fail / N/A and optionally document failures with photo and notes. If a mandatory item fails, the machine is automatically locked out – an effective employer-liability shield, DGUV-aligned.
Maintain a central spare-parts catalog with part number, manufacturer, category, storage location, supplier and unit (piece, litre, metre, kg, set …). Current stock and minimum stock level are tracked per part – items below the threshold appear on the dashboard as reorder suggestions.
Assign each spare part to the machines it fits. When logging maintenance or a repair you immediately see which parts qualify – and whether they are currently in stock.
Using a spare part inside a maintenance event automatically creates a consumption record – quantity, unit price and total cost flow into the machine history and (when the Finance module is in use) directly into the machine's cost centre. Stock is decremented automatically.
Capture operating hours manually or via a logbook entry per operator and assignment. Maintenance due dates, depreciation and cost statistics update automatically. Optional role requirements per hour log (mandatory operator field, approval workflow, etc.) keep your data clean.
Manage German tax depreciation (AfA per § 7 EStG) fully digitally. Choose linear or declining balance, assign each machine to a BMF depreciation category (tractor, mower, trailer …) and FarmManager automatically calculates annual depreciation, cumulative book value and remaining useful life. Low-value assets (GWG) under €800 net are recognized as immediate write-off.
Every maintenance, repair, safety inspection, parts consumption and status change is archived with timestamp, user, cost and notes. The complete life-cycle file of a machine – viewable in one click or exportable to XLSX for external workshops.
